INTRO
Join our dynamic team at POC’s global headquarters in Stockholm (Södermalm) as a Senior Executive Assistant & Office Manager. In this highly influential role requiring both managerial and administrative skill, the Employee will be a partner to the CEO and work closely with other senior management as a multifaceted business manager, wearing many hats, including executive assistant, office manager, human resources administrator, and project manager. We are looking for a seasoned professional with a broad range of management experience and track record of getting things done.
KEY RESPONSIBILITIES
KEY RESPONSIBILITIES:
Executive Support:
- Provide high-level executive support to the CEO and other senior leadership, including managing calendars, organizing meetings, planning travel, and drafting communications.
- Assist in the development and finalization of executive communications, including proofreading and editing.
- Facilitate effective communication between executives and internal/external stakeholders.
- Manage Board communications and meetings.
Office Management:
- Oversee the day-to-day operations of the office, ensuring a productive and collaborative work environment.
- Greet visitors to the office, manage incoming and outgoing mail and packages, answer and direct phone calls to staff.
- Oversee office infrastructure projects, including completion of our Stockholm headquarters expansion and upgrade.
- Develop and enforce office policies and procedures.
- Plan and coordinate employee events, conferences, team-building activities, and office celebrations.
Human Resources:
- Oversee the recruitment process, including posting job openings, screening resumes, arranging interviews, and facilitating the hiring process.
- Manage employee onboarding, orientation, and training programs.
- Assist in the management of the business-wide performance evaluations process, ensuring managers and their direct reports execute the established requirements.
Project Management:
- Act as project manager on select cross-functional projects, ensuring the timely completion of deliverables and objectives.
- Maintain a register of major projects and report on status to senior management.
Financial Administration:
Assist in budget planning and monitor expenses related to office operations and recruitment.
